About the Opportunity

JOB SUMMARY

The Asst Dir-External Events & Conference Programs provides leadership, management, and oversight of a segment of the Summer Guest Housing programs - which includes the intern, conferences, and orientation housing programs. Assistant Directors will be responsible for overall program implementation, delivering an annual program that meets revenue goals, advances the university's mission, and generates interest in Northeastern's brand identity. This position will also oversee external day event business year round.

Some nights and weekends are required during peak periods or to support events. On call rotation during summer housing programs.

RESPONSIBILITIES INCLUDE:
  • Establish an ongoing working relationship with orientation team; communicate with team regarding housing options, contract process and pricing. Adopt and supervise a seasonal summer staff comprised of professionals from the Department of Residential Life, including residence directors; as well as professionals and paraprofessionals hired externally.
  • Develop a comprehensive training program for summer staff including professional, graduate and student staff; develop and maintain appropriate documentation related to program training.
  • Represent the University with outside contractors/vendors used in the delivery of the Summer Conference Housing Program, including contract negotiations, delivery, and audit.
  • Oversee program's supply inventory (including linens, keys, and other amenities); manage orders, storage and transportation to meet program needs.
  • Coordinate and lead weekly summer facilities meetings to keep all areas up to date on summer program schedules.
  • Participate in on-call duty rotation with the Director and other Assistant Directors during summer program. Provide on-site support during off hours and weekends for summer conference program check-ins/outs and events as needed.
  • Work with staff to ensure space is ready prior to guest arrival. This could include final inspections of residence hall spaces prior check-in.
  • Work with external clients and university stakeholders and service teams to identify event needs, secure space reservations, and coordinate event logistics.
  • Guide internal departments, offices, and student organizations through the process of sponsoring an external event.
  • Manage contract and insurance development for external events.
  • Coordinate invoicing and collections for external events.
  • Develop promotions and outreach initiatives to reach new and current customers; this includes fostering collaboration with university constituencies to identify mutually beneficial opportunities.
  • Assist the Director in developing long range plans for the department's expansion, with an emphasis on the External Day Events, by staying current on industry trends and best practices.


MINIMUM QUALIFICATIONS
  • Higher Education experience with an understanding of campus climate and knowledge of student affairs, housing operations or related area.
  • Ability establish and maintain collaborative, positive, and effective working relationships with multiple and diverse constituency groups, e.g., university administrators, faculty, staff, and students, as well as with business partners and service providers of varied backgrounds.
  • Ability to listen carefully to understand, respond, and problem-solve efficiently and effectively to address concerns.
  • Effective computer skills, especially with MS Office suite products, e.g., Word, Excel, PowerPoint, Publisher, and preferably, StarRez software and Salesforce.
  • Knowledge and skills required for this position are typically acquired through completion of a Bachelor's Degree with at least one to three years of work experience in student affairs or a related field.
  • Prior supervision and program management experience.
