Job Summary:
Reporting to the Assistant Vice Provost of International Student and Scholar initiatives, the Associate Director in the office of undergraduate international admission plays a key role in the International Admission office by serving as a reading manager, coordinating outside readers, building relationships with external organizations, and providing general admission and enrollment services designed to meet the needs of prospective, admitted, deposited, and enrolled undergraduate international students. This position provides expertise in reading international applications and transcripts, develops and implements strategies to ensure a smooth and efficient admission process, and helps plan and implement recruitment events and activities.

As part of the International Admission team, the Associate Director will support and further the goals of the unit and University to expand the reach of our international admission strategy and bolster USF's international recruiting and admissions efforts.

DUTIES AND RESPONSIBILITIES:

Admission and Application Reading Responsibilities:
  • Evaluates academic credentials of international first-year applicants and transfer students, and provides guidance and expertise in this area to the entire International Admission team.
  • Reviews admission files, determines eligibility, and recommends admission decisions.
  • Serves as the reading manager for the undergraduate International Admission team, including overseeing application review, following up on incomplete applications, creating and maintaining the reading training manual, and providing reading training.
  • Oversees outside readers for the undergraduate International Admission team, schedules and provides training, sets weekly reading goals for the team and outside readers.
  • With the Assistant Vice Provost and in collaboration with SEM and the schools and colleges, maintains admission standards, requirements, protocols, policies, and procedures for enrollment.
  • Serves as the liaison and collaborates closely with the office of Strategic Enrollment Management to ensure proper processing of admission applications, coordinating updates to the admission database, and troubleshooting issues as they arise.


Operations Responsibilities:
  • Manages outside contracts that support international initiatives and formal partnership agreements.
  • Tracks and processes invoices for payment.
  • Oversees the general office communication including the main email inbox and responds to outside inquiries.
  • Coordinate hosting of admission related delegations, international visitors and other guests to the USF campus.
  • Coordinates the activities of the International Admissions team, including maintaining travel schedules and keeping the calendar up to date for the international admission counselors.
  • Provides logistical support for international student yield events.
  • Trains and oversees student assistants to respond to prospective student inquiries, communicate with prospective students via social media, and develop creative ways to share student stories and make connections with new admits and prospective students.


Recruitment Responsibilities:
  • Takes lead for the International Admission office on coordinating with SEM on shared areas of recruitment and admission, including some recruitment at US high schools and community colleges.
  • Presents in-person and virtual information sessions and answers the questions of prospective students from all territories.
  • Represents the University to external organizations and associations at local, regional, and national professional organizations.
  • Generate daily international reports through Slate to ascertain and analyze the application funnel and application review needs and progress.
  • This position will also support recruitment initiatives in other regions as staffing needs and demand fluctuates.
  • Travel approximately 10-15% of the time.


Marketing, Communications and Data Analysis:
  • In coordination with the Assistant Vice Provost, reviews the annual communication plan, gathers feedback from the international admission team, and makes recommendations on changes.
  • Collaborates with the SEM Enrollment Communications team on marketing materials for international recruitment.
  • Assist in the production and dissemination of specially designed international student recruitment materials such as brochures, PowerPoint presentations, flyers and marketing materials specific to the needs of your region. This includes translation of appropriate materials.
  • Works collaboratively to further enhance and execute a communication stream for international students.
  • Collaborates with the Assistant Vice Provost and Vice Provost to research and execute data-driven strategies that align with enrollment goals, including compiling data and reports to understand international student enrollment trends.


Other Responsibilities:
  • Serves on internal (and external) committees at the discretion of the Assistant Vice Provost.
  • Performs additional duties and tasks, such as special projects, research, and the development of reports, as assigned by the Assistant Vice Provost.
  • Other related duties as requested.

MINIMUM QUALIFICATIONS:
  • Bachelor's degree required; Master's preferred.
  • Six to eight years of demonstrated experience in undergraduate or international admission,
  • Detailed knowledge of admission application organization, reading, and tracking.
  • Understands the industry and competitive landscape and recognizes the implications for the organization.
  • Demonstrated proficiency using various software applications, and ability to learn new software applications.
  • Experience with all or some of the following: Technolutions Slate, English language proficiency exams and interview platforms, internationally-based curricula (e.g. non-U.S. national curricula, A-levels, IGCSE, and IB), SEVIS, and international organizations such as International ACAC and CIS.
  • Ability to be flexible and creative when working in a dynamic environment.
  • Experience working with international students and is familiar with international student experiences including adjustment to studying in the US, common student concerns and expectations.
  • Demonstrated skills in making oral presentations to an international audience through innovative media formats to provide information, instructions, or explain subjects of interest.
  • Experience managing projects and budgets.
  • Ability to work effectively in a strong service environment that is subject to shifting priorities.
  • Demonstrated skill in exercising patience, diplomacy and flexibility in interacting with students and their families.
  • Excellent interpersonal skills, with ability to work cooperatively and efficiently with staff members having overlapping responsibilities.
  • Ability to exercise good judgment and discretion, particularly in matters relative to sensitive or confidential student or organizational matters, and ability to maintain confidentiality in accordance with university policy and government regulations.
  • Ability to work effectively as an individual with minimal supervision and as a part of a team.
  • Availability to work nights and weekends as needed.
  • Understanding and commitment to USF's mission, vision, and values.
  • Strong intercultural communication skills, and the ability to advise and problem-solve around international student issues and concerns.
  • Ability to deal with a wide range of cultures and personalities in a professional and tactful manner and to communicate with persons having varying degrees of English proficiency.
  • Demonstrate experience in working with and supporting a diverse and underrepresented population.
  • Excellent organizational and time management skills, ability to set and meet goals, prioritize workload, handle multiple interruptions and complete a number of competing assignments within established deadlines.
  • Demonstrated ability to work efficiently and accurately on detail-oriented projects and data entry.


PREFERRED QUALIFICATIONS:
  • Ability to speak a foreign language and experience living or studying abroad.
